Designing an AI-assisted workflow to reduce manual data entry

Background

Money Forward built a document storage product to help small businesses manage tax documents and comply with Japan's updated Electronic Bookkeeping Act.

As businesses accumulated receipts and invoices, every document had to be uploaded individually and tagged manually, turning a routine bookkeeping task into a repetitive workflow.

To make the product more valuable and attract new users, the roadmap introduced automatic metadata extraction (AI-powered OCR). My role was to design the document upload experience, helping businesses work faster while maintaining confidence in their financial records.

My Role

  • Feature ownership: Owned the design of the AI-powered OCR feature from workflow exploration through final UI design and usability testing
  • Cross-org collaboration: Partnered with product managers, engineers, and the OCR platform team to align the user experience with technical capabilities and implementation constraints.

Outcome at a glance

  • User impact: Reduced the effort required to comply with new bookkeeping regulations by introducing AI-assisted metadata extraction with a clear review and confirmation workflow.
  • Business impact: Increased the value of Money Forward's free document storage product, strengthening its role as an acquisition channel into the broader Money Forward ecosystem.
